Cozy Music School Policy

Please read the following policies carefully before registering.

1. Tuition and Billing

  • Tuition rates: Please see here

  • Registration Fee: A one-time, non-refundable registration fee of $25 is required with the first tuition payment.

  • Payment Schedule: Tuition is due on the first day of each month. Payments can be made via e-transfer.

  • Late Payment: A $5 late fee will be applied if the payment is more than 3 days late,

    Payments made on or after the 4th of the month will incur this fee, and unless both the full tuition and late fee are paid before the first lesson of the month, no lessons will be given.

  • Refund Policy: Tuition is non-refundable once paid. This policy applies to missed lessons, cancellations, or dissatisfaction with the program.

2. Attendance

  • Punctuality: Students are responsible to be on time for their lessons. If a student arrives late, the lesson will still end at the scheduled time, with no extensions.

  • Parental Responsibility: Parents are responsible for ensuring that students are picked up promptly at the end of their lesson time. Repeated late pick-ups will result in additional childcare fees ($5 for every 10 minutes late) at the discretion of the school.

  • If your lesson falls during a school holiday, you will receive a text reminder to ensure you're aware of any changes or cancellations.

3. Make-up Lessons

  • The lesson date and time are reserved for the student each week. Any change from the student's originally scheduled lesson time will count as a makeup lesson. This includes cancellations and rescheduled dates and times.

  • In order to qualify for a makeup lesson the legal guardian of the student must give the teacher more than 24 hours notice, regardless of the reason.

  • A makeup lesson will be provided as either 2 extended lessons or one rescheduled lesson.

  • Each student is allowed a maximum of 3 makeup lessons per year (April 1st to March 31st).

  • If the guardian of the student cancels more than 3 lessons within the April-to-March term, no additional makeup lessons will be provided.

  • For families with multiple students, each student’s makeup lessons are counted individually.

  • From the day of the last makeup lesson, students must wait at least 8 weeks before they can request another makeup lesson.

  • Extended Lessons

  • If a student needs to cancel a lesson, the student’s next two lessons will be extended by 15 minutes each to make up for the missed lesson (30 mins in total). These extended lessons may be scheduled within 8 weeks of the canceled lesson based on mutual availability.

  • Rescheduled Lessons

  • Rescheduling a lesson to a different day or time is considered a makeup lesson because the student cannot attend their originally scheduled lesson. This will count toward the three allowed makeup lessons per year.

  • If you wish to reschedule a lesson, the teacher will provide the available date and time. If the given option does not work, the lesson will be considered canceled, and no refund will be given.

  • Canceling/Rescheduling of a Makeup Lesson

  • If you cannot attend a rescheduled lesson or a makeup lesson, the lesson will be considered canceled, and no refund, additional reschedule, or extra makeup lesson will be given.

  • Missed Lessons

  • Lessons missed without prior notice or with less than 24 hours' notice are not eligible for makeup lessons.

  • Teacher Cancellations

  • If the teacher cancels a lesson, the school will decide if either a makeup lesson or a credit for the next month will be provided.

4. Illness

  • Sick Students: If a student is ill, parents must notify the school as soon as possible, preferably with more than 24 hours' notice to qualify for a make-up lesson. (section 3)

  • Contagious Illness: Students showing symptoms of a contagious illness should not attend in-person lessons to ensure the health and safety of other students and staff.

  • Teacher Illness: If the teacher is ill and unable to conduct a lesson the school will decide if either a makeup lesson, or a credit for the next month will be provided.

5. Long Vacation

  • If you plan to take an extended vacation (more than two weeks), please notify me at least two weeks in advance. During your absence, your lesson time cannot be guaranteed and may be given to another student. To retain your spot, you may choose to pay 50% of your lesson fee for the missed weeks. Otherwise, you will need to reschedule once you return, depending on availability. No makeup lessons will be offered for missed classes during the vacation.

6. Discontinuing Lessons

  • Notice Requirement: At least 2 weeks notice is requested to discontinue lessons.

  • Final Payment: Tuition for the final month of lessons is non-refundable, regardless of the termination date.

  • Re-registration: If a student discontinues lessons and wishes to re-register, a new registration fee may be required, and re-admittance is subject to availability.

7.Special Needs Instruction

  • Please note that the teacher is not specifically trained in working with children with special needs. If your child requires specialized instruction, I encourage you to reach out so we can discuss whether my teaching approach would be suitable for your child's needs.

8. Behaviour Expectation

  • Respectful language and behaviour are expected at all times. Repeated instances of disrespect may result in the termination of lessons.

  • Any concerns or issues should be communicated respectfully and will be addressed professionally.

9. Respect for Property

  • Only certain areas such as the lesson room and the bathroom next to the lesson room are accessible to students.

  • Other areas of the home, such as the living room or the upstairs rooms, are private and should be respected as off-limits.

  • Please remove shoes when entering the house.

  • Please eat before the lesson. Eating or drinking (besides water) is not allowed in the lesson room to avoid spills or messes.

  • Students and visitors are expected to respect all personal property within the home.

  • We understand that accidents can happen with little ones. If any significant damage occurs due to misuse, we may need to discuss repairs or replacements with parents on a case-by-case basis.

  • In the rare case of theft or intentional damage, lessons may be discontinued, and further action may be taken if necessary.

10. Animal Allergy Notice

  • Please note that our home has one small dog. If your child has allergies or sensitivities to animals, please take this into consideration before scheduling lessons.

11. Injury and Accident

  • Please note that Cozy Music School is not responsible for any injuries or accidents that occur before or after the scheduled lesson time while the student is not under the teacher's direct supervision.

By registering for our lessons, students and their guardians acknowledge that they have read, understood, and agree to follow all policies outlined in this document. The policy may be subject to changes in the future. These guidelines help ensure a smooth and enjoyable experience for everyone.
